How to Change a Headshot or Profile Photo Background

Part of the guide: Background remover

A cluttered background pulls attention away from a face. A plain one looks more professional, and a matching one makes a whole team page look consistent. Here is how to do it well.

Choose a background that works

  • Neutral solid or soft gradient. Light grey, white, off-white and soft blue are safe for most profiles.
  • A tone that complements the clothes and skin. A dark jacket stands out on light grey. A pale outfit needs a slightly deeper background.
  • One brand colour for team pages, kept muted so faces stay the focus.
  • Avoid busy or high-contrast scenes, and avoid anything that competes with the face.

Steps for one headshot

  1. Start with a sharp, well-lit photo. Good light on the face makes everything after it easier.
  2. Remove the background. Use a background remover with a people or portrait model, and turn on any edge-refining mode for hair.
  3. Put the person on the new background. A solid colour or a soft gradient.
  4. Check the edges on that exact background. Look around the hair, ears and shoulders for a fringe from the old background. See cutting out hair and fur cleanly.
  5. Crop for the platform. Profile photos are usually shown as a circle or a square, so keep the face centred with space around it. Check the platform's own help page for current size limits.
  6. Export as JPG or PNG, whichever the platform accepts.

Steps for a whole team

Consistency is the point of a team page. Do the same thing to every photo.

  1. Collect the original photos in one folder.
  2. Remove all the backgrounds in one run, using the same model and settings.
  3. Apply the same background colour to every image.
  4. Crop them all to the same ratio, with the face in a similar position. A batch crop tool does this in one pass.
  5. Review every image at full size, because hair edges vary from person to person.

BG Remover Pro is built for this on a Mac: drag in the folder, pick a solid background colour, process the batch, then use Crop Batch to apply one ratio to every image. It runs on your Mac, so team photos are never uploaded, which matters when the photos are of staff. It is our own app, so take that as a disclosure. It needs an Apple Silicon Mac with macOS 14 or later, and you can process 20 images free first.

Do not overedit

  • Keep the person looking like themselves. Background changes are fine. Do not reshape faces or bodies.
  • Check the rules for official photos. Passport, visa and ID photos have strict requirements, and some do not allow edited backgrounds. Follow the issuing authority's guidance and not an online tool's claim.
  • Check the platform's rules if you are unsure what is allowed for profile photos.

Frequently asked questions

What background colour is best for a headshot?

A neutral solid or soft gradient, such as light grey, white or soft blue, is safe for most profiles. Choose a tone that contrasts with the clothing.

How do I change a headshot background?

Remove the old background, place the person on a plain colour or gradient, check the hair edges on the new background, and crop for the platform.

How do I give a whole team the same background?

Process all the photos in one batch with the same settings and the same background colour, then crop them all to the same ratio.

Can I use an edited background for a passport photo?

Check the rules of the issuing authority first. Many official photo requirements restrict editing, so do not assume it is allowed.

Need to do this for a whole folder?
